Position Summary

The Executive Assistant/Office Manager will be responsible for administrative management of the CEO and organizational management of the NYC and Boston offices of PH.AI. The ideal candidate will be comfortable in a fast-paced environment while remaining organized and flexible to support both the CEO and office needs.


  • Own a variety of administrative tasks for the CEO including but not limited to: managing a very busy calendar; completing expense reports; arranging travel; and preparing presentations
  • Serve as the administrative liaison between the CEO and the rest of the company
  • Research and prioritize any incoming issues and concerns regarding the CEO or company while maintaining confidentiality
  • Take meeting notes and distribute to team members in a timely manner
  • Manage any ad hoc projects as assigned
  • Assist in arranging team meetings or company parties as needed
  • Schedule interviews between hiring managers and candidates while serving as the primary contact for both
  • Coordinate with team leads to organize new hire onboarding needs including but not limited to: making sure a new hire’s desk is arranged with the right equipment for day one; ordering laptops; and arranging onboarding meetings for the first week
  • Ensure the NYC and Boston offices are stocked with any necessary supplies and snacks
  • Maintain the office condition and arrange necessary repairs
  • Serve as the primary contact for all office management vendors

Required Qualifications

  • A Bachelor’s degree with a minimum of 5 years of experience in a similar role
  • Excellent verbal and written communication skills
  • Attention to detail and strong problem-solving skills
  • Strong organizational and planning skills in a fast-paced environment
  • Ability to multitask and prioritize daily workload
